PSA in Quebec

The PSA for managed IT in Quebec.Tickets, SLAs and invoices, powered by AI.

A PSA is the software that holds the tickets, the contracts, the time, the invoices and the assets of a service business. OKTO PSA was built and is hosted in Quebec, in French, and is billed in Canadian dollars.

What a PSA does, and what it is not

The acronym stands for professional services automation. It is the central tool of a service business: it connects what your clients ask for, what your technicians do, and what you invoice. Without it, those three things live in three places that do not talk to each other.

It is not an RMM

An RMM watches workstations and servers. A PSA runs the business relationship: tickets, contracts, time, invoices. The two complement each other, and OKTO PSA connects to OKTO RMM.

It is not a CRM on its own

A CRM tracks opportunities. A PSA also tracks delivery, time spent and money billed. The CRM is one part of the PSA, not the other way around.

It is not accounting

The PSA produces the invoices and calculates the taxes. Accounting records them. OKTO PSA issues invoices with GST and QST already worked out.

Why "in Quebec" is not a marketing line

It is not local pride, it is risk and cost. Four things change concretely when the software is built, hosted and supported in Quebec.

Law 25

Your instance and its dedicated database, never shared, are hosted in Quebec. The list of subprocessors (network protection, off-site backup) is in the data processing agreement; use it for your own privacy impact assessment.

Law 96

The interface, the documents and the support exist in French because the product was written in French, not translated afterwards.

GST and QST

Calculated natively, on the invoice, with no add-on and no workaround.

The Canadian dollar

A price in Canadian dollars does not move when the exchange rate does. Next year's budget stays next year's budget.

The time zone

When you call at 8 in the morning, someone answers.

Recourse

A service agreement under Quebec law, with a company you can drive to in Trois-Rivieres.

What the PSA covers, module by module

Twenty-two modules ship with the product, with no tier to unlock and no seat minimum. The product page breaks them down family by family.

Service desk and SLA

Tickets, queues, priorities and deadlines counted in business hours, not calendar hours.

Contracts and prepaid blocks

Monthly plans, hour banks, blocks that draw down on their own as time is entered.

Time and invoicing

Time entered becomes an invoice line, taxes included, with no second entry.

Projects and milestones

Whatever lasts longer than a ticket: deadlines, budget, progress.

Assets and inventory

What you manage at the client site, tied to the tickets that concern it.

Client portal

What your clients see: their tickets, their assets, their invoices, in one place.

Encrypted team chat

One on one or in groups, with files and linked records. A dot shows who is online, and every message is encrypted with a key unique to your instance.

Ctrl K and the reminder bell

Ctrl K finds a ticket, a client or an asset from any screen. The bell brings you back to what is still waiting, along with your @ mentions.

OKTO Sign and your feedback

Quotes and contracts signed online with OKTO Sign. A problem or an idea? Report it from your own instance, screenshot attached, and follow what happens next.

Service desk

The team queue, nothing slips through

The moment you sign in, the dashboard shows what is urgent: open tickets, unassigned tickets, SLA breaches, tickets that came in today. A critical ticket arrives, it jumps to the top of the queue, and a technician takes it in one click.

  • Saved views with live counts: team queue, my tickets, unassigned, SLA at risk
  • Status, priority, agent and SLA time left on every row
  • "Assign to me" in one click
  • Ctrl K finds a ticket, a client or an asset from any screen
  • Who on the team is online, and a bell that reminds you what you forgot

SLA

SLAs that count business hours

Every ticket carries two clocks: first response and resolution. They follow your client's calendar, business hours and Quebec statutory holidays, and they stop while the ball is in the client's court.

  • First response and resolution, tracked separately
  • One calendar per client: business hours, time zone and Quebec holidays
  • The clock stops while waiting on the client and restarts when they reply
  • Time logged on a reply comes off the hour bank
  • When the ticket closes, a satisfaction survey goes out on its own

OKTO RMM

OKTO RMM alerts in the same queue

Connected to OKTO RMM, the PSA receives alerts from your workstations and servers. The ones that clear up on their own close by themselves, with a note that says why. The others take one click and become a ticket already linked to the right device and the right client.

  • Disk space, backups, stopped services, offline devices
  • Closed automatically when the problem clears, with a note
  • One click and the alert becomes a ticket linked to the asset and the client
  • Your team only sees what needs a human

Assets

Your client's fleet, always up to date

OKTO RMM brings every workstation and server into the client record: last seen, pending patches, warranty end. Filter what is about to expire, and OKTHAV prepares the replacement opportunity with its amount.

  • Inventory pulled from OKTO RMM, no typing
  • Last seen, patches and warranty on every asset
  • Saved filters, like "warranty ends within 90 days"
  • Every asset linked to its tickets and its client
  • A replacement opportunity suggested, ready for the pipeline

Contracts

Contracts and hour banks, no spreadsheet

Hour bank, all-inclusive per-seat plan or hourly rate: every client has its contract, and every time entry knows where it goes. The bank counts down as you work, and the overage is billed in one click.

  • Hour banks that count down with every time entry
  • All-inclusive per-seat plans, billed every month
  • Hourly rate for work outside the contract
  • Overage spotted on its own and billed in one click
  • Clients see their hour balance in their portal

Billing

The month's invoices, in one click

Every month, OKTO PSA prepares all recurring invoices: per-seat plans, Microsoft 365 licences bought through Pax8, monitoring. GST and QST are calculated and rounded to the cent. One click, and everything goes to QuickBooks and to your clients' portal, where they pay online.

  • Plans, Pax8 licences at the month's price and monitoring on the same invoice
  • GST 5% and QST 9.975%, rounded to the cent
  • Sync with QuickBooks
  • Online payment through Stripe from the client portal
  • Receipts sent automatically

OKTHAV

OKTHAV, the AI assistant for your service desk

Ask a question in plain English, OKTHAV answers with your real numbers and suggests the next step. Nothing moves until you confirm.

  • Tickets likely to breach their SLA, and who should take them
  • The month's billable hours, by client
  • The client who is over contract, with the invoice already prepared
  • It reads a business card, a receipt or a device label, and creates the record
  • It finds duplicates, tells you who did what and reminds you what you forgot

OKTHAV only sees your data. You pick the AI provider, you turn on each capability one at a time, and nothing runs without your approval. OKTHAV is an option at $39.99 a month on the standard plan.

All about OKTHAV

Your clients' own portal

  • Open tickets, follow-up and replies
  • Hour bank balance, always current
  • Invoices payable online by card
  • Quotes signed online with OKTO Sign
  • Star rating each time a ticket closes

OKTHAV now answers from your phone

OKTHAV, the AI assistant inside OKTO PSA, no longer stays at your desk. It answers your questions from your phone, flags what needs your attention and gets the repetitive work ready. You stay in control: nothing goes out without your tap. Telegram is optional and off by default; its messages travel through servers outside Canada, and a notice reminds you before you turn it on.

On Telegram and by text

Ask from your phone: which tickets are at risk of breaching their SLA today, what is waiting on your decision. OKTHAV answers with real figures, pulled from your own data.

Alerts you opt into

Critical ticket, assignment, a client reply, an approval, an automation rule, a mention. Each alert carries its buttons: Summarize, Assign to me, Approve, View. Everything is optional, off by default, with quiet hours.

A command menu

Your day, your hours, a contact, a search, and create a ticket through guided questions. The bot answers without you opening anything else.

An equipment label, in a photo

Snap a photo of a device. OKTHAV reads the make, model and serial number, then drafts the asset record. All you do is confirm.

Your email and SharePoint, read-only

OKTHAV reads the mailboxes you choose and your SharePoint documents, read-only, to answer about your exchanges with a client and hand you the direct link.

Your Outlook calendar

"My week", "am I free Thursday". OKTHAV reads the calendar of the people you select, read-only. A private meeting shows only as "Busy".

Internal texts over Telegram

On-call group, ticket digest, the day's schedule: these team messages can go out over Telegram, with a text message as backup if Telegram does not answer.

The same version, the same day

Everyone gets the same version on the same day. And in your lists, the row turns green as soon as the client has replied, easy to spot at a glance.
